Student Experience Sr. Coordinator

The Bing Overseas Studies Program (BOSP) provides transformative educational experiences that inspire students to embrace new challenges in complex global settings. Stanford in Santiago offers students a field-based quarter in Chile, where they study systems under pressure in Latin America. Through courses, local engagement, and experiential learning, students explore issues such as climate and sustainability, resources and infrastructure, democracy and inequality, health and wellbeing, culture, language, and public memory.

JOB PURPOSE

The Student Experience Sr. Coordinator supports the growth, visibility, and student-centered delivery of the Stanford Program in Santiago by making Santiago’s academic value, Chile-based opportunities, and student experience clear, and compelling to prospective and confirmed students. Working closely with the Director, BOSP home campus colleagues, local staff, faculty, student ambassadors, alumni, and approved local collaborators, the Sr. Coordinator is responsible for implementing successful strategies and campaigns that attract attention and students to the center. The role also coordinates enrollment, student communications, academic experience and feedback systems that strengthen recruitment and peer-to-peer student recommendations before, during, and after each quarter. This is an enrollment-centered program role with strong student experience and academic coordination responsibilities supporting a culture of evidence-informed improvements, timely follow-up, and disciplined diligent execution.

ENROLLMENT, YIELD, AND DEMAND GENERATION | 35%

  • Track the enrollment funnel, including prospects, applicants, incomplete applications, admitted students, confirmed students, withdrawals, and no-shows.
  • Prepare enrollment dashboards, applicant snapshots, and yield-risk notes during application and confirmation cycles.
  • Coordinate outreach activities, including information sessions, student ambassador touchpoints, admitted-student follow-up, testimonial collection, and major-specific messaging.
  • Analyze the motivations influencing students' choices regarding Santiago, paying special attention to individuals in STEM, sustainability, health, engineering, Human Biology, Symbolic Systems, International Relations, Latin American Studies, social sciences, humanities, and undeclared disciplines.
  • Translate the program’s academic identity into clear student-facing messages that explain the academic relevance of Chile, Santiago, the program timing, and the quarter-specific opportunity
  • Maintain a bank of student stories, alumni quotes, photos, field examples, sample pathways, and “day in Santiago” narratives that support recruitment and advising.
  • Coordinate efforts with the BOSP home campus and student ambassadors to increase the campus’ knowledge and awareness of the Santiago program continuously throughout each quarter.

STUDENT EXPERIENCE AND LIFECYCLE COORDINATION | 40%

  • Coordinate student communications from pre-arrival through return, covering preparation, orientation, academic rhythm, local engagement, reflection, and post-program storytelling. Serve as the primary point of contact for routine student inquiries regarding program expectations, academic logistics, and cultural opportunities in Santiago.
  • Create and maintain tools such as checklists, FAQs, calendars, and orientation materials to help students navigate courses, field trips, residence life, local transportation, and safety norms. Conduct mid-quarter check-ins and end-quarter feedback sessions to identify issues affecting student satisfaction and retention. Document recurring pain points and operational challenges.
  • Escalate concerns related to wellbeing, conduct, or safety to the appropriate authorities, including the Director and Finance Manager.
  • Foster a culture of care and inclusion to enhance the student experience while maintaining professional boundaries.
  • Manage the flow of academic information, overseeing syllabi collection, course materials, schedules, and logistics for students, faculty, and advisors. Provide administrative support to clarify Santiago’s courses and academic expectations, ensuring they are accessible.
  • Help maintain materials that connect coursework to Santiago’s identity as Stanford’s field quarter for studying systems under pressure in Latin America. Assist in preparing briefs for advisors, students, and faculty about Santiago's academic value.
  • Identify gaps between the formal curriculum and student interests, supporting academic events and field-based activities to boost program visibility. Track academic deadlines and ensure proper oversight for grading and curricular authority.
  • Produce quarterly reports on enrollment signals, student experience, experiential learning, feedback themes, and recommended improvements.

EXPERIENTIAL LEARNING AND LOCAL INTEGRATION | 25%

  • Map and maintain a current compliance-reviewed ecosystem of Chile-based opportunities, including universities, research centers, labs, startups, companies, NGOs, public agencies, cultural institutions, alumni, and civic organizations.
  • Coordinate approved field visits, guest speakers, project-based learning activities, volunteering pathways, applied workshops, and experiential learning opportunities connected to Santiago’s academic identity.
  • Coordinate approved mechanisms for local integration, such as language-partner activities, local student contact, cultural programming, community visits, and guided reflection opportunities, while respecting Stanford policies and local legal constraints
  • Maintain and update documentation for external contacts, including purpose, student value, cost, risk, accessibility, approval status, and any restrictions on use of Stanford name, logo, partnership language, student placement, contracts, or credit.
  • Ensure that no external relationship, internship, volunteer placement, research opportunity, institutional commitment, use of Stanford name/logo, or credit-bearing activity is promised or formalized without appropriate review and approval.
  • Track which experiences, messages, courses, ambassadors, and stories seem to influence student interest, yield, satisfaction, and referrals.

*These duties may be adjusted as needed to suit the business and academic needs of the Stanford Overseas Studies Program.

PREFERRED QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • Bachelor’s degree or equivalent and at least five years of relevant experience, or an equivalent combination of education and experience.
  • Experience in international education, student recruitment, academic program coordination, and higher education administration, with a proven ability to collaborate with students, faculty, professionals, and cross-cultural stakeholders.
  • Experience supporting student recruitment, enrollment marketing, yield campaigns, student ambassador programs, and student storytelling, as well as designing or coordinating field-based and experiential programs.
  • Experience working within U.S. higher education, particularly in highly selective university environments.
  • Demonstrated experience in Chilean higher education, innovation ecosystems, civil society, cultural institutions, local startups, and sustainability initiatives.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced fluency in English and Spanish (oral and written), with a demonstrated ability to craft clear, persuasive, student-centered communications in English.
  • Strong organizational skills, attention to detail, and ability to manage multiple deadlines during high-pressure application, arrival, and program periods.
  • Proficient in Microsoft Word, PowerPoint, Excel, Google Drive, and skilled in using spreadsheets, dashboards, and CRM tools to support decision-making.
  • Ability to navigate formal and informal channels with diplomacy, tact, and cultural fluency to accomplish goals.
  • Demonstrated ability to exercise discretion, maintain confidentiality, document issues appropriately, and elevate sensitive matters through established channels.
  • Strong interpersonal skills, warmth with students, good judgment, and ability to work collaboratively in a small team.
  • Understanding of risk, compliance, and brand-use constraints in university partnerships or student placements.

PHYSICAL REQUIREMENTS*

WORKING CONDITIONS

  • Must be legally authorized to work in Chile.
  • Exceptional evening or weekend work may be required for approved program activities, outreach events, field visits, and student arrivals or departures, managed in accordance with applicable working-time and overtime regulations. Participation in approved field trips, local visits, and experiential learning activities may occur as part of the regular schedule or with prior authorization.
  • The position may also engage in a rotating after-hours response protocol for urgent student or program matters, without implying permanent availability.
